Salary: £31,970 per annum, plus company benefits

Contract: Full Time, Permanent
Shifts: 37.5 hours per week, Monday – Friday, 9am until 5:30pm with 1 hours unpaid lunch break

Purpose of role
The Personal Assistant will play a key role in supporting our client’s Executive Assistant and their wider team by handling a range of administrative and coordination tasks. This support is critical in enabling the Executive Assistant and team members to focus their time and attention on higher-value, strategic responsibilities. By efficiently managing day-to-day operational duties, the Personal Assistant will contribute to the overall effectiveness and productivity of the executive function.
The successful candidate will be a proactive and resourceful Personal Assistant who thrives in a fast-paced environment and takes initiative without needing close supervision. As a self-starter with a go-getting attitude, you will be responsible for providing high-level administrative support with a strong emphasis on organisation, time management, and attention to detail. You will need to demonstrate excellent communication skills, both written and verbal, as you liaise confidently with stakeholders at all levels. This role requires someone who can anticipate needs, solve problems efficiently, and stay one step ahead to ensure smooth day-to-day operations.
Key responsibilities
- Complex, fast, and accurate diary management
- Managing the process of submitting expenses in a timely manner
- Travel coordination, booking and management (flights, trains, transfers and hotels)
- Booking venues and meeting rooms, organising catering
- Event support, both onsite and virtually
- Answer telephone, emails, and place service calls when needed
- Ensuring accurate and timely use of client relationship management tool
- Maintaining up to date client records on the firm’s client relationship management tool
- Managing the client and matter inception process ensuring files are opened in a timely manner in accordance with the firm’s policies
- Co-ordinating the completion of document production, e-filing and file management, organising couriers, sending out of letters
- Drafting documents from precedents
- Liaising with the client’s support team
- Actively participating in all relevant training
- Demonstrating flexibility with working practices/processes in line with the business need, especially in times of pressure/ high workload
Personal attributes
- Previous PA experience is essential
- Previous experience within a private equity or professional services setting is preferable
- Previous experience with DealCloud or similar CRM software is desirable
- Advanced knowledge of MS Office software (Word, Excel, PowerPoint); strong keyboarding and typing skills; able to technically troubleshoot applicable software specific to the business/client
- Exceptional standard of written and verbal communication
- Proficient multi-tasker with excellent organisational skills
- Ability to handle sensitive and/or highly confidential documents and information with professionalism and discretion
