- Supervise and lead a team of administrative staff, ensuring tasks are completed accurately and efficiently.
- Assign and delegate daily tasks, ensuring proper workflow and timely completion.
- Monitor staff performance and provide training, coaching, and support as needed.
- Conduct regular staff meetings to review goals, challenges, and department updates.
- Act as a point of contact for customer inquiries, ensuring issues are addressed promptly and professionally.
- Oversee the creation and management of customer accounts, service schedules, and billing records.
- Ensure high standards of customer service are maintained across all administrative tasks.
- Ensure accurate data entry and maintenance of administrative databases.
- Identify inefficiencies in administrative processes and propose improvements to enhance productivity and streamline operations.
- Collaborate with management to ensure adherence to company policies, safety procedures, and quality standards.
- Assist in the preparation of payroll, invoicing, and other financial reports related to the administrative team.
- Ensure compliance with company policies, industry regulations, and best practices.
- Proven experience in an administrative or supervisory role, preferably in a service industry.
- Strong leadership, organizational, and time-management skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and prioritize effectively.
- Proficient in office software (Microsoft Office Suite), and familiarity with industry-specific software is a plus.
- Knowledge of pool maintenance and related services is a bonus but not required.
- Strong attention to detail with a focus on accuracy and efficiency.
- Ability to work well in a team and foster a positive and productive work environment."
