We are looking for a committed individual to provide an efficient and effective administrative service at our Shared Lives scheme in Leeds.

Shared Lives is at the forefront of current thinking in social care. St Anne’s Shared Lives is a well-established and high quality service which recruits carers who offer an ‘ordinary’ home in the community to adults with a learning disability.

Main duties of the job

What You’ll Do

As a Co-ordinator, you will play a key role in supporting the smooth running of the scheme. Your responsibilities will include:

  • Providing administrative support to the Service Manager and Shared Lives Leads, including typing and minute-taking
  • Setting up and managing the scheme’s social media platforms
  • Processing carer payments, maintaining Excel databases and invoicing
  • Designing and publishing quarterly newsletters
  • Creating and maintaining electronic filing systems
  • Managing the carer training database
  • Liaising with internal and external stakeholders at all levels
  • Facilitating the scheme’s panel meetings

Detailed Job Description And Main Responsibilities

  • Process and balance all Shared Lives Carer payments.
  • Prepare and process invoices for external agencies.
  • Prepare regular statistical reports using Excel.
  • To set up and administer the schemes Social media platforms
  • Liaise with other departments to assist with queries.
  • Prepare new carer and client files, both physical and on the computer system.
  • Type letters and reports, and prepare presentation and training documents, as required by the service.
  • In liaison with the Scheme Manager arrange and prepare for Panel meetings including liaison with and file preparation for Panel members, minute taking and other Panel administrative duties.
  • To deal with telephone enquiries, accurately recording any messages.
  • To assist in the production, using Publisher, of Shared Lives marketing materials, liaising with Scheme Manager and Marketing Officer respectively.
  • In liaison with the Scheme Manager, to arrange regular Shared Lives events, such as the Panel meetings and carer and client groups. Assist with the organisation of meetings, including taking of minutes and dealing with associated administration as required.
  • Awareness of Health and Safety policies and responsibility for adopting safe working practices to protect yourself, your colleagues and people visiting the organisation.
  • Assessing and identifying with your manager any risks involved at work and in taking appropriate action to manage the risk involved.
  • Communicating effectively within the workplace, the team and the organisation.
  • Responsible for identifying and meeting personal development and training needs jointly with your manager based on service objectives.
  • Responsible for contributing to the successful future development of St Anne’s.
  • Ensuring that as an individual, and as part of a team, resources are used appropriately and that all necessary steps are taken to avoid (fuel energy) waste.
  • To be able to communicate effectively and at all levels both internally and externally, in writing and verbally.
  • To participate in, and adopt a positive approach to, regular Personal Development Review, an annual Staff Development Review, and Team Meetings
  • Be receptive to new ideas and working practices and to play an active role in implementing new methods where doing so contributes to the department’s efficiency and effectiveness.

Essential criteria

  • Experience of Microsoft Office packages, including Word, Outlook, Excel and ability to use more advanced functions

  • The experience to deliver the role, with or without qualifications, applying people policies and processes in a large, complex organisation.
