Ignite Talent Group

Purpose of the role

Lead and directly manage the insolvency administration team, taking personal responsibility for daily case onboarding, appointment readiness, workflow delivery, staff performance and timely progression of insolvency assignments. Ensure new instructions are actively progressed each day and urgent barriers to appointment are resolved promptly.

Office operations and team management

  • Organise daily workloads, allocate tasks according to experience and capacity, and ensure clear ownership of outstanding work.
  • Lead regular team meetings, monitor progress and address delays, resource gaps and performance concerns promptly.
  • Support recruitment, induction, staff development and performance reviews; coordinate leave and absence cover.
  • Maintain office procedures, document templates, supplier arrangements and effective working practices.
  • Coordinate IT support, equipment, access permissions and business continuity arrangements with the appropriate providers.

Full case oversight

Oversee CVLs, bankruptcies, CVAs, IVAs and other assignments handled by the practice, including information gathering, communications with creditors, investigations, statutory reporting and liaison with the Insolvency Service, subject to the IP’s oversight.

Funds and appointment controls

Monitor agreed payments and confirm receipt and appropriate handling of funds with finance. Distinguish pre-appointment monies from insolvency estate funds; do not treat funds as available to the office-holder before a valid appointment and proper authority.

Urgent escalation and completion

Intervene immediately where a case is at risk of missing its target appointment date. Reallocate work, contact directors or introducers, escalate issues to the IP and, where reasonably required and in accordance with working-time arrangements, work additional hours to resolve urgent problems.

Daily new instructions and appointments

Review every newly instructed case each day, especially CVLs, and ensure engagement documents, director information, creditor details, required funds and appointment paperwork are obtained and progressed as quickly as practicable. Maintain a live tracker showing owner, next action, blockers and target appointment date.

Direct management of staff

Directly line-manage insolvency administrators, assign individual responsibilities and daily targets, monitor productivity and quality, provide coaching, hold regular one-to-ones and address underperformance promptly. Take ownership of team delivery rather than merely coordinating tasks.

Case administration and workflow

  • Maintain a central case diary and monitor filing dates, reporting milestones and other case deadlines, escalating any risk of delay.
  • Oversee case opening, information gathering, engagement documentation, identity checks and file setup in accordance with the firm’s procedures.
  • Coordinate preparation of notices, correspondence, reports and decision procedure documents for review and approval by the appropriate case manager or Insolvency Practitioner.
  • Monitor case progression from appointment through to closure, ensuring records are complete and outstanding actions are followed up.
  • Support corporate insolvency work, including creditors’ voluntary liquidations and administrations, and other appointment types handled by the firm.

Quality control and practice compliance

  • Maintain accurate, accessible case files and ensure that approved checklists and review processes are followed.
  • Coordinate internal file reviews, track corrective actions and support preparation for regulatory monitoring visits.
  • Maintain practice records for training, complaints, conflicts, identity checks and other controls assigned to the role.
  • Monitor completion of confidentiality, data protection and document retention procedures, escalating concerns to the responsible person.
  • Identify errors, missing information, overdue actions and unusual transactions, and refer them promptly for review.

Financial and management administration

  • Support billing, time recording, debtor monitoring and collection of the firm’s fees, in conjunction with the finance team.
  • Coordinate case cashbooks, reconciliations and payment documentation where delegated, maintaining approval records and segregation of duties.
  • Prepare regular management information covering case volumes, workloads, deadlines, billing, aged debts and operational issues.
  • Monitor office expenditure and suppliers within agreed budgets and approval limits.

Client and stakeholder service

  • Act as a professional point of contact for directors, creditors, employees, introducers and professional advisers.
  • Ensure enquiries and correspondence receive a timely response and are directed to the appropriate colleague.
  • Handle sensitive or distressed callers calmly and maintain clear records of discussions and agreed actions.
  • Coordinate meetings and calls, record actions and follow up agreed deadlines.
  • Record complaints and escalate them through the firm’s complaints procedure.

Authority and accountability

The Insolvency Manager directly manages the administration team and is accountable for allocating, supervising, reviewing and following up delegated work. Acceptance of appointments, statutory office-holder decisions, technical insolvency advice, formal approvals and estate payment authorisations remain with the licensed Insolvency Practitioner or other authorised person.

Measures of success

  • Deadlines are visible, monitored and met, with risks escalated early.
  • Case files are accurate and review actions are completed within agreed timescales.
  • Workloads are balanced, staff understand their priorities and service standards are maintained.
  • Management information is accurate and delivered on time; billing and outstanding debts are actively monitored.
  • Office procedures are consistently applied and practical improvements reduce avoidable errors and delays.

Person specification

Essential experience and skills

  • Relevant experience within an insolvency practice, with a sound practical understanding of corporate insolvency case administration.
  • Experience supervising staff, coordinating a team or managing an office or case administration function.
  • Strong organisation and prioritisation skills, including managing competing deadlines and maintaining reliable records.
  • Ability to review administrative work, identify omissions and challenge poor standards constructively.
  • Clear written and verbal communication, including dealing professionally with confidential and sensitive matters.
  • Confidence using Microsoft Word, Excel, Outlook and case management systems.
  • Good attention to detail and confidence with basic financial information, billing records and reconciliations.
  • Ability to work independently within delegated authority and recognise when technical or management input is required.

Desirable experience and qualifications

  • Experience supporting creditors’ voluntary liquidations and administrations through to closure.
  • Experience of regulatory visit preparation, internal file reviews and practice compliance administration.
  • Experience using the firm’s insolvency case management software.
  • A relevant insolvency qualification, such as the Certificate of Proficiency in Insolvency, or willingness to work towards one.
  • Experience improving office procedures, producing management reports and supporting recruitment and staff development.

Personal qualities

  • Dependable, discreet and accountable, with a professional approach to confidential information.
  • Calm under pressure and comfortable setting priorities and following up incomplete work.
  • Approachable and fair, with the confidence to manage performance and communicate concerns.
  • Practical and proactive, with a focus on resolving problems and improving how the office operates.
