Sales Administrator with Advanced Excel

Location: Hybrid – 3 days in office

Head office: Leeds

Salary: £25,000–£30,000 depending on experience

Working for a technology-driven payment service provider that empowers e-commerce businesses with the latest payment technologies and delivers tailored payment solutions.

With ambitious growth plans for the future, it’s an exciting time to join the team!

About the role:

As a Sales Administrator, you’ll play a key role in supporting the sales function by ensuring that data, reports, records and documentation are accurate, up to date and easy to access. The role is varied and fast paced, requiring strong Excel skills, excellent organisation and the ability to adapt to the needs of the business, Sales Manager and wider team.

You’ll work closely with sales, finance, operations, marketing, integration, banks and other internal and external partners to gather information, maintain reliable records and help ensure that teams are working effectively together. You’ll be responsible for compiling information and preparing reports, while the Sales Manager will use this information to analyse performance and make commercial decisions.

Your day-to-day responsibilities will include:

  • Pull reports and data from different systems, including CRMs, Matrix and other internal reporting tools, and consolidate the information into clear, accurate spreadsheets and reports.
  • Use Excel confidently, including formulas, lookups and pivot tables, to maintain reporting templates, calculate figures and check data for accuracy.
  • Liaise with Finance to reconcile sales, revenue and processing volume figures, investigate discrepancies and ensure reported figures align.
  • Maintain accurate, up-to-date sales records, trackers and documentation, ensuring files are saved consistently and correctly within File Explorer and shared folders.
  • Distribute new leads to the relevant salespeople in a timely manner and maintain accurate records of lead allocation.
  • Monitor and manage the sales inbox, ensuring enquiries and requests are directed to the right people and followed up promptly.
  • Communicate with internal teams and external departments, banks and partners to obtain current information, chase outstanding updates and support effective collaboration.
  • Provide flexible administrative and reporting support in line with the Sales Manager’s priorities, adapting to changing business needs and assisting with sales reporting, pipeline records and board report preparation.

About you:

This role is ideal for someone who is highly organised, confident working with data and spreadsheets, and able to manage changing priorities while maintaining a high level of accuracy.

  • Strong Excel skills, including formulas, lookups, pivot tables and working with data from multiple sources.
  • Experience compiling reports, maintaining spreadsheets and ensuring information is accurate and consistent.
  • Highly organised, methodical and able to maintain tidy, up-to-date records and document folders.
  • Excellent attention to detail, with the ability to spot missing information, errors and discrepancies.
  • Confident communicating with internal teams and external contacts to obtain information and follow up on outstanding requests.
  • Proactive and adaptable, able to manage changing priorities and respond to the needs of the Sales Manager and wider sales team.
  • Experience with CRMs, Matrix or similar reporting systems is beneficial. Experience in payments, fintech or financial services is an advantage but not essential.

What we offer:

This is an exciting time to join a growing company that has created a solid position in a flourishing industry. We are continuing to build a strong people culture, with personal development and career progression as important priorities.

As part of the team, you can expect:

  • Competitive salary of £25,000–£30,000, depending on experience
  • Plus bonus scheme
  • Your birthday off
  • Pension scheme
  • Company laptop and equipment
  • Ongoing training and development opportunities
  • Opportunity to develop your skills within a growing payments business
  • Flexible office working with 3 days in office and 2 at home
  • Plus much more
