The role

We are seeking a proactive Receptionist to join our dynamic Property and Workplace Team. In this role, you will pay a pivotal role in delivering exceptional client service and ensuring the smooth operation of our reception area and client suite. Your responsibilities will include front of house duties, event coordination, maintaining high standards of presentation. Flexibility are key as you’ll also assist with various tasks within the Workplace Team.

The team

The Property and Workplace Team is the integration of processes within and organisation to maintain and develop the agreed services which support and improve the effectiveness of its primary activities. This encompasses multi-disciplinary activities within the built environment and the management of their impact upon the people and the workplace. Effective workplace management, combining resources and activities, is vital to the success of any organisation.

Main Responsibilities

  • Great and assist visitors at reception, maintaining a professional and welcoming environment
  • Coordinate events from inception to completion, ensuring seamless execution
  • Ensure the client suite décor and furniture are always presented to a high standard
  • Set up meeting rooms, ensuring catering and refreshments are presented to a high standard and ensuring allergies and dietary requirements are handled correctly.
  • Handle calls and emails promptly and professionally
  • Complete all health and safety paperwork and procedures diligently
  • Liaise with ground floor security and workplace staff for smooth operations.
  • Set up meeting spaces according to requirements
  • Ensure all AV/VC equipment is functioning properly
  • Provide IT assistance and support as needed
  • Receive training in fire marshal and first aid duties
  • Assist with ad hoc tasks to support the smooth running of the Property and Workplace Team.
  • Any other duties as reasonably requested from time to time.

Skills And Qualifications

  • Proven ability to deliver high quality customer service ideally in a large client suite environment.
  • Experience in working within the Legal or Financial Industry, with a strong focus on event management
  • Excellent organisational skills, attention to detail, and ability to manage multiple tasks simultaneously
  • Excellent personal presentation and professional demeanour.
  • Strong communication skills with the ability to adapt to different situations
  • Adaptable attitude with a collaborative approach to teamwork
  • Accuracy and attention to detail, even under pressure
  • Self-Confidence and initiative in problem solving
  • High level or proficiency in Outlook, Word, and Excel
  • Confidence n setting up and troubleshooting AV/VC Equipment
  • Manual handling furniture and equipment will be a requirement, training will be provided
  • Positive, proactive attitude, and ability to work under pressure.
  • Flexibility to assist with out of hours events as needed.
