Key Responsibilities:

• Managing and processing supplier invoices received through various channels, ensuring accurate allocation and approval workflows.
• Recording and uploading authorised invoices onto the property management system for payment processing.
• Assisting with the preparation and reconciliation of service charge accounts.
• Supporting the management of tenant accounts, including monitoring outstanding balances and debt recovery administration.
• Retrieving and maintaining utility billing information from supplier portals and online platforms.
• Coordinating annual insurance renewals, arranging payments and raising tenant recharges where applicable.
• Overseeing vacant property business rates administration and liaising with specialist mitigation providers.
• Acting as a point of contact for utility suppliers, arranging account closures, transfers and new occupier registrations.
• Managing utility consumption records, including obtaining and submitting meter readings.
• Processing utility recharges to occupiers and arranging payment of landlord liabilities for vacant premises.
• Liaising directly with utility companies and appointed brokers to secure competitive energy and utility contracts.
• Maintaining accurate property records and ensuring all administrative processes are completed efficiently and in line with client requirements.
• Providing general support to Property Managers to assist with the day-to-day management of commercial real estate assets.

This role would suit an organised and detail-oriented administrator with strong financial processing skills and an interest in commercial property management.
